Terms & Conditions
Coasters Castles Travel, LLC Terms and Conditions for client travel reservations. Please be
advised that in the event any changes are made to any reservation including, but not limited to
changes in travel dates, updated Terms and Conditions may apply to the modified reservation.
Any participation in this service will constitute acceptance of this agreement.
Prices
All prices are in U.S. dollars and are subject to change until the package is paid in full. Prices are
for the total package and cannot be broken down into individual package component prices.
After package is paid in full, package price is subject to change due to imposition of taxes or
other charges of government authorities. Prices are also subject to change due to
modifications to package or package components. Additional adult charges may apply for more
than two adults per room. If transportation is included in the package, the airfare is not
guaranteed until the total price of the airline tickets is paid in full. Client is responsible for any
price differences that may result from any requested changes.
Booking Procedures
Reservations must be made in accordance with the Supplier and are not complete until the
Supplier has issued a confirmation number.
Reservation Information
All clients’ full, legal names (including children) are required at the time the reservation is
made. Children’s ages at time of travel are also required at the time the reservation is made.
Date of birth and gender are required for all clients, including infants, if the reservation includes
air transportation and/or cruise vacations.
Deposit and Payment Procedures
For reservations made 31 days or more prior to guest arrival, a deposit as required by the
supplier will be due and must be received or the reservation will automatically be cancelled.
The total price of travel insurance is also due at time that it is requested. For reservations that
include air transportation, the total price of airline tickets may be due at the time of booking.
Payment in full is due according to the suppliers’ schedule. Payment may be made with a valid
credit card as authorized by the Credit Card Authorization Form. Payments made with a debit
card may be subject to daily spending limits according to the card holder’s bank, and any
payments charged over the daily spending limit may be rejected. It is the responsibility of the
card holder to be aware of their daily spending limit to ensure the payment does not exceed
the limit. Coasters Castles Travel, LLC is not responsible for any consequences resulting from
exceeding the daily spending limit. Final payments may need to be made in smaller, daily
amounts to adhere the daily spending limit. All payments will be made directly to the Supplier
and not to Coasters Castles Travel, LLC or to any of their agents. In some cases, a supplier gift
card may be used for payments. It is the responsibility of the client to retain all used gift cards
in the event of a cancellation as the refunded amount will go back to the original form of
payment.
Cancellation and Refunds
Cancellations may be made according to each Supplier’s Terms and Conditions for each
reservation with refunds made per their individual contract. Please note that most air, unless
otherwise noted, is non-refundable as well as travel insurance premiums. Clients will be
responsible for any cancellation fees assessed by airlines and Suppliers. No refunds are made
for airline tickets after travel has commenced or if a flight is missed or delayed.
Change Fees and Changes to Reservations Made Prior to Guest Arrival
Changes to reservations or packages, including but not limited to change in travel dates, length
of stay, room accommodations, age of children, number of guests, or names of guests are
subject to availability at the time the change is requested, and the client is responsible for
payment of any increase in price resulting from the change and/or change fees. All changes are
subject to the Terms and Conditions of the Supplier.
Travel Documents
Travel documents will be issued to clients according to Supplier terms and within a reasonable
time prior to travel, if there is proper time following the booking.
Identification
It is the client’s responsibility to ensure that all members of their travel party have the required
identification with them at the time of travel to allow them to travel via their selected means.
This includes having a REAL ID or passport for all flights as of October 1, 2021 for anyone over
the age of 18. For all guests taking a cruise, it is the responsibility of the client to ensure all
members of their travel party have the appropriate identification as required by the Cruise Line
and/or the country they are departing from and/or disembarking to visit. For international
travel, it is the client’s responsibility to ensure all members of the travel party are compiling to
the identification requirements of the countries they are visiting.
Air Transportation
Flight schedules are not guaranteed. Coasters Castles Travel, LLC and their Agents are not
responsible for any airline schedule changes, delays, cancellations, or any airlines’ failure to
perform for any reason including, but not limited to, strike, bankruptcy or cessation. Duplicate
reservations are subject to cancellation by the airline without notice. Coasters & Castles Travel,
LLC and their Agents are not responsible for any negative impacts to a vacation resulting from
an airline’s failure to perform for any reason. It is recommended to fly into a location at least
one day prior to embarking on a cruise so as not to risk a delay resulting in missing the cruise.
Features
Parks, restaurants, attractions, recreation, entertainment and other products, services or items
are subject to change by all Suppliers and are not the responsibility of Coasters Castles Travel,
LLC or their Agents.
General Conditions and Responsibility
Coasters Castles Travel, LLC and their Agents shall at no time be liable or responsible in any
way whatsoever for any loss, injury, illness, or damage caused or arising in connection with any
transportation, hotel, ship or other services or products of Suppliers, or as a result of acts of
God, acts of Government or other authorities, wars, civil disturbances, hijacks, thefts, or any
circumstance beyond their control. Coasters & Castles Travel, LLC reserves the right to accept
or decline any client at any time for any reason.
Clients with Disabilities or Needs of Special Accommodations
For clients with disabilities who require accessible accommodations, specific information and
assistance can be requested of the Supplier by an Agent of Coaster Castles Travel, LLC. It is
the client’s responsibility to make the Agent aware of any accommodation requests, disabilities,
sensitivities, and/or allergies that could impact the travel plans. The agent will contact the
Supplier on the client’s behalf as necessary.
Car Rental and Ride Share
Agents of Coasters & Castles Travel, LLC will work on behalf of the client to reserve a rental
vehicle if requested. It is the client’s responsibility to adhere to all Car Rental Supplier
requirements, regulations, terms and conditions, and insurance, as well as to understand their
own personal auto insurance policy and if that coverage will extend to a rental vehicle and to
the drivers of the rental vehicle. The client assumes all risk, including damages for loss of use, if
appropriate and complete auto insurance is not secured whether through their own personal
auto insurance policy or the insurance provided by the Car Rental Supplier.
If a client will be hiring a ride share vehicle during their vacation, such as through Uber or Lyft, it
is the client’s responsibility to ensure the ride share driver has the appropriate auto insurance
ride share coverage which will extend to their passengers.
Acknowledgements
COVID-19 Travel Waiver
On the date indicated below, I request that Coasters Castles, LLC (“Agency”) and their Agent
to make one or more travel booking(s) on my behalf. As the worldwide COVID-19 Coronavirus
Pandemic remains ongoing at this time, I acknowledge that for this reason, and other reasons
not reasonably foreseeable at this time, these travel plans may be interrupted or cancelled by
the Supplier that is providing them, a government entity, or other third party over which
Agency has no control. I further acknowledge that the Supplier’s own cancellation, rebooking,
or refund policies, subject to any applicable law that is now or may later be in effect, will govern
my rights and remedies, including my right to receive a refund, in such an event. Moreover, I
understand that should I elect to purchase travel insurance, the terms of the policy will dictate
whether, and to what extent, coverage for any financial loss may exist under the circumstances.
By signing below, I hereby agree to hold Agency and their Agents harmless and to release them
from any and all liability for any damages, including but not limited to monetary losses, I may
incur as a result of such interruption or cancellation of these travel plans.
Travel Insurance
I understand it is my responsibility to ensure that the policy I choose meets the needs of what I
expect should there be a need to cancel for any reason with the understanding that policies do
not generally include epidemics. I understand that I am responsible for ensuring and
understanding the coverage in the policy.
Travel insurance premiums may not be refundable according to the terms and conditions of the
Supplier. The client agrees to follow the terms and conditions of the purchased travel
insurance policy or travel protection policy.
Credit Card Use
I understand that I will adhere to the Credit Card Authorization Form as attached to this
document.
